What old details remain in copied quotes?

Copying an old proposal can leave the previous customer’s name, price or terms in place. Free-form AI rewriting can also change the intended meaning. Before automating, decide which text is fixed, which fields change and who approves the template.

Check what template tools can handle

PandaDoc can create documents from templates through its API. Try an existing document service for standard layouts. Add integration where data comes from several systems or the required format and approval process cannot be handled directly. Keep approved template versions under control.

Create a draft for approval before sending

Begin with one document type and one data source. Check required fields, generate a draft and send it to an authorised reviewer. Save the template version and a copy of the data used. Sending must wait for approval.

Check long names and page breaks

Try long names, different currencies, decimal amounts, tables spanning pages, missing fields and a revised template. Inspect every rendered page. The appropriate content owner should approve contract terms and other specialist wording.

Bring approved templates and example outputs

Bring approved templates, the source of each field, sample documents and the approval steps.
