An AI suggestion is a draft. Confirm the action, owner and deadline before adding it to the project tool.

Separate suggestions from commitments
“We could consider it next week” is not an agreed deadline. A transcript can also get a word or speaker wrong. Turning every suggestion into a task creates false commitments and duplicates. Decide how participants confirm actions and how later corrections reach the task list.
Check existing meeting recap features
Teams offers meeting recap features, depending on the licence and settings. Check your current meeting and task tools first. Add a connection where you need to pass confirmed tasks between tools or follow a particular approval process.
Confirm the source, owner and deadline
Use meeting records you are allowed to process, with the appropriate participant consent. Suggest tasks alongside the supporting passage. Have a person confirm the wording, owner and date before writing to one project tool. Carry over the meeting’s access and retention rules.
Test negation and unclear deadlines
Try negative statements, vague dates, people with the same name, later corrections and repeated processing. Check the confirmed tasks and the effort needed to fix mistakes. A rejected suggestion should not return as a new task on the next run.

Bring notes with personal information removed, the required task fields, reviewers and rules for accessing meeting records.
