A quote and order system: connect versions, approval and handover

Sales revises a quote, an approver signs it off and operations creates the order. Follow the screens that keep each person working from the correct version.

A customer asks for a price, changes the quantity, adds delivery and requests another quote. Sales updates the file, an approver replies by email, and operations creates an order from the previous version. A quote and order system can keep these actions on one enquiry so each person sees the confirmed details and next step.

Existing CRM and quoting tools already cover parts of this work. HubSpot offers quote approvals, with availability depending on the product and subscription. This guide focuses on daily enquiry, version, approval and order-handover screens. If existing tools remain in use, integration can concentrate on the missing connection.

Keep products, files and follow-up on the enquiry

Sales can record the customer, contact details, items, quantities, required date and delivery arrangements. Keep attachments, questions and replies on that page. The list shows the owner and states such as Needs information, Preparing quote, Awaiting approval and Sent, so a colleague taking over can see what the customer last confirmed.

Keep the previous version when a quote changes

A quote page can hold items, specifications, unit prices, discounts, delivery charges, validity and payment terms, then generate the document the company sends. A quantity change creates a new version with its editor, time and changes. Staff can open the file actually sent at that time to identify the version mentioned in an email.

Version comparison should reveal changes in quantities, prices and terms. If approved content changes, send it for approval again under the company’s rules and retain the old approval. Record internal approval separately from customer acceptance so an internal sign-off is not mistaken for a placed order.

Give the approver the information for this decision

The approver opens the specified version from a task list and sees the total, discounts or terms requiring attention and sales notes. Approval or return includes a comment. Sales adds information to the same record and resubmits it. Set who may approve and when another reviewer is required around the company’s process.

Check the confirmed version before creating an order

When operations creates an order from a confirmed quote, carry over its items, quantities, prices and delivery details and keep the link between the two records. For a later customer change, decide whether it revises the order or creates an additional one. Show the follow-up arrangement rather than overwriting work already in progress.

For another order system, show pending transfers, successful record numbers and failure reasons. After a timeout, check whether the destination already created the order before retrying. Repeat clicks should return the same result. This gives staff a way to resolve exceptions without immediately creating a second order by hand.

Let operations and finance follow the same order

A handover list shows the goods to prepare, delivery date, customer confirmations and owner. Add partial delivery, invoicing or payment status where the work requires them, with each role handling its own tasks. Clear identifiers connect the quote, order, delivery and invoice so staff can trace a customer question through the chain.
