Assigning CRM leads: make sure someone follows up

An assigned lead is not necessarily a handled lead. Keep existing customer relationships, duplicate enquiries and overdue follow-ups in view.

Why do assigned enquiries still go unanswered?

One prospect may appear through a form, an email and an event list. Assigning each record separately can give several people the same customer, or overwrite the existing account owner. A routing rule also needs to show whether anyone actually followed up.

Check the CRM’s existing routing rules

HubSpot and other CRMs offer assignment rules. Check the available plan, rule order and what happens when several rules match. If those settings cover your process, configure them before adding a separate routing service.

Keep unassigned enquiries in view

Start with one lead source. Check for duplicates, keep the existing owner where appropriate and queue records that cannot be assigned. Record the actual follow-up and alert staff when it is overdue. Manual reassignment should include a reason.

Test absence, departure and duplicates

Try duplicates, absent staff, no eligible owner and late imports. Import the same list again and check that it neither creates another lead nor resets the follow-up date. Confirm that staff can distinguish assigned, contacted and still waiting.

Bring your team’s assignment rules

Bring the lead sources, assignment rules, staff availability and CRM fields. Include examples where an existing customer should stay with their current account owner.
