Offline inspection forms: keep records safe until they sync

A completed form is not necessarily an uploaded form. Staff need to know which records and photos are saved locally, waiting to sync or already received.

Saved forms and pending photos

A basement or work site may have little signal. Forms and photos can stay on the phone even though the task looks complete. A changed template or two edits to the same record can cause further trouble when the connection returns.

Try the inspection tool on site

Try the offline features of a product such as SafetyCulture on the actual devices. Check supported forms, photo storage and sync behaviour. If your inspection rules or existing systems require more, use those test results to define the additional work.

Plan downloads, storage and later sync

Start with one form that staff can download before work. Save entries and photos on the device, show pending uploads and retry failed transfers. Conflicting edits should go to a person for review. Agree when locally stored data can be cleared.

Does the record survive closing the app?

Use airplane mode, close the app and restart the phone. Try large photos and low storage, then reconnect. Check that the server received every record and photo, and that a failed upload remains visible and recoverable.

Bring device and offline-use details

List the devices, forms, typical photos and expected time without a connection. Include any rules for shared devices and local data storage.
