Gym booking systems: memberships, class credits, waitlists and personal training

A member may have credits left without being eligible for every class. Connect group capacity, trainer availability, rooms, waitlists and attendance so members, reception and coaches work from the same schedule.

Tuesday evening’s group class is full and a member wants to join the waitlist. Another member has four personal-training sessions left and wants the same time. An empty calendar slot cannot answer both requests: the class needs a place and an eligible pack; the private session needs a trainer, space and enough time.

These rules reflect real operations. PURE Hong Kong’s FAQ describes cancellations, waitlists and missed classes. Glofox’s support documentation checks remaining credits, active membership and eligible class types when a booking fails. The example below shows how a custom system could connect daily work at a gym offering both group classes and personal training.

What members, reception and trainers need to see

Members choose a location, class and date on their phone, with the credit cost, available places, cancellation deadline and their own bookings visible. Reception uses a daily schedule for check-in, assisted booking, changes and waitlists. Trainers see their sessions, attendance lists and cover assignments. Scheduling staff use trainer and room calendars without needing every member’s payment details.

Show exactly where a membership or pack can be used

An eight-class group pack and four-session PT pack should show separate balances, expiry dates and eligible sessions. A monthly plan may cover only certain locations or a weekly allowance. Before confirmation, the system can check eligibility on the session date and identify the pack being used; validity today should not automatically permit a session after expiry.

One design reserves a credit when a booking is confirmed and consumes it when the session or no-show decision is settled. The member page shows available, reserved and used credits, each linked to a booking. Timely cancellations release the credit according to policy; late cancellations show the reason for any deduction. Staff adjustments retain a reason instead of silently changing the total.

Group places and personal-training availability need different checks

Group sessions can be scheduled first, with capacity tied to the room and usable equipment: six machines means at most six places. For personal training, start with session length and trainer, then find a time when the trainer, space and required equipment are all available. A trainer teaching a group class cannot simultaneously take a private booking; travel or setup time can be included.

A weekly template can create recurring sessions while each occurrence keeps its own bookings and attendance. When a trainer is away, staff should be able to change one occurrence or the remaining series, review affected members and notify them of a substitute, room change or cancellation. If two members request the last place, only one booking can be confirmed; the other can choose the waitlist.

Make waitlist promotion clear to the member

Keep the waitlist separate from confirmed attendance. After a cancellation, a gym could promote members in order or offer the next person a place with a confirmation deadline. Explain the chosen policy when they join. Glofox itself distinguishes notification-based booking from automatic promotion and provides an automatic-promotion cutoff: simply having a waitlist does not define the full rule.

Recheck membership, credits and overlapping bookings before promotion. Show why an ineligible member was skipped and continue according to policy. Once confirmed, update the member’s booking page, reception’s list and the credit record together; the message must distinguish a confirmed place from an offer awaiting a reply. Failed alerts near class time need a reception task and a predefined fallback.

Separate building entry, class check-in and no-shows

Scanning into the gym does not prove attendance at a particular session. Reception or the trainer should mark present, late, absent or cancelled on that session’s list, with a correction history. Review unmarked bookings after class before consuming a credit or recording a no-show; delayed check-in synchronisation should not itself trigger a penalty.

PURE Hong Kong’s published rules show that late cancellations and no-shows can affect later booking access. A custom system can show the gym’s own policy before confirmation, with each event and any reinstatement date visible to reception. If the trainer cancels the whole session, treat it as a gym cancellation and release the associated places and credits without assigning member no-shows.

Preview affected bookings before freezing a membership

A two-week membership freeze need not cancel group bookings, separately purchased PT and recurring places in the same way. The freeze screen can preview effective and return dates, affected sessions, credit validity and the next payment schedule for an authorised staff member to confirm. Glofox’s pause documentation also distinguishes membership-funded classes from separately paid bookings.

On reactivation, recheck availability before restoring recurring bookings; an old routine should not cause overbooking. Holidays, equipment maintenance and unexpected closures can use the same scheduling process to list members needing a new time or returned credits. Where locations, groups and PT follow different rules, make those differences visible in settings and member pages.

  • Book the last group place with a class pack, then add a second member to the waitlist. Check both credit balances and list states.
  • Cancel on time and promote the waiting member. Repeat with an expired pack or overlapping booking and check the explanation shown to reception.
  • Select a trainer and time with a PT pack, then schedule that trainer for a group class. Verify that the conflict cannot leave two valid commitments.
  • Have reception check members in, correct a mistaken absence and preview a membership freeze. Compare remaining credits, affected bookings and notifications.

Start with one location and a week of sessions

A first version can connect member balances, booking, waitlisting, cancellation, attendance and reception adjustments while retaining the current payment process. Yoga or Pilates studios can add mat or machine allocation; small-group training can use group-specific limits. Multiple locations can add cross-location eligibility and trainer travel time. Bring the current timetable, pack rules and three exceptions reception handles manually.
