Enquiry, quote and order integration

Give every handoff a shared record and a clear owner.

These are illustrative workflow designs, not completed client cases or a complete service list. Other development, takeover, integration and maintenance needs are welcome. Scope, fees and timing are agreed per project.

When is this worth doing?

For sales and operations teams handing work between email and spreadsheets, searching for the latest quote or re-entering customer details. Identify the handoff most likely to be missed and measure the weekly effort spent chasing it.

Choose the right approach first

Keep the parts a standard CRM or quoting tool already handles. Connect the gaps where pricing rules, approval levels, order states or internal systems differ. The first delivery does not need to replace every tool.

Try the workflow

Give every handoff a shared record and a clear owner.

Approve revision → create order. Revisions need fresh approval; failed attempts can retry; duplicate events must not create another order.

An interactive browser demonstration with synthetic data. It does not upload documents, call AI, connect to your systems or create real orders. It illustrates a workflow, not a completed integration.

Sample quote Q-104

Revision 1 · 10 items × HK$ 120 = HK$ 1,200

Quote not confirmed. Orders: 0.

These are fictional item prices, not ProApp service fees. Changes after confirmation need a separate amendment process, not an overwritten approved quote.

A focused first delivery

  1. Start with one enquiry source and shared customer and enquiry identifiers.
  2. Retain quote revisions and approvers; create orders after approval.
  3. Show the owner, next action and failures; retries must not duplicate orders.

Agree how to verify the work

Verify a normal enquiry, a quote revision, a duplicate notification and a connection failure. Check order-to-quote consistency, permissions, recoverable failures and handoff ownership. Measure handling time and missed work; the demo cannot establish sales growth.

Cost, timing and what to prepare

Prepare sample quotes, pricing and approval rules, tool names and available interfaces. Cost depends on connections, data cleanup, exceptions and two-way synchronization. Third-party subscriptions are identified separately. Agree one complete workflow before expanding.
